Main Duties & Responsibilities

Greets and assists all visitors, including vendors, clients, job candidates and customers. Operates multiple-call telephone switchboard console and routes calls to the appropriate person or location. Pages individuals as requested. Maintains the corporate telephone list, visitor/contractor access system, and positive customer/vendor relationships. Opens and distributes mail. Manages postage on a UPS system for front offices. Prepares and mails weekly invoices to customers. Ensures monthly anniversary and birthday cards are mailed to all employees. May perform incidental typing and routine clerical work as assigned.

Job Duties and Responsibilities:

  • Answers switchboard incoming calls and transfers them to the appropriate extension or pages individuals as necessary.

  • Manages the company’s lobby area. Greets and directs all visitors, including vendors, clients, job candidates and customers. Ensures that corporate visitors have properly utilized the visitor/contractor access system.

  • Opening Incoming Mail and Distributing.

    Â
  • Maintains, updates, and publishes all company telephone lists.

    Â
  • Cross trained in ordering office supplies.

    Â
  • Schedules conference calls as requested.

    Â
  • Sends cards to employees for birthdays, anniversaries, marriages, births, deaths, and surgeries.

  • Prepares and mails weekly invoices to customers.

    Â
  • Schedule conference rooms for meetings

  • Cross trained setting up vendors and changing vendor information

    Â
  • Responsible for training Back-up Receptionist and ensuring proper phone coverage during hours of operation.

  • Daily UPS tickets and charges

    Â
  • Ensures completion of paperwork, sign-in and security procedures.

  • Assists in human resources projects when necessary.

    Â
  • Ensures all new hires/temps have proper name badges.

    Â
  • Orders lunch for different depts. as requested.

  • Proven computer skills in Microsoft Windows, Word, Excel and PowerPoint

  • Conflict resolution and problem solving skills

  • Have the ability to communicate effectively and demonstrate courtesy and tact when dealing with customers, both internal and external

  • Poised manner and presentation, both in person and on the telephone

  • Ability to handle multiple tasks

  • Maintain flexibility in performing other related task or functions as required or assigned

  • High School Diploma or equivalent
    Work Experience
    Â
  • Four years of receptionist/switchboard operator experience. In a professional environment

  • Regular attendance is necessary

  • Ability to sit most of the day and handle multiple things at once.
