Main Duties & Responsibilities
Assist and support other administrative roles within the company.
Key Responsibilities and Activities
Ensure accuracy when payroll is processed through the monitoring of timecards and application of company policies.
Track employee vacation and sick hours accrued and taken, and report on company costs. Submit hours to payroll bi-weekly for inclusion in pay stubs.
Track employee attendance issues and hours through reports.
Submit hours for the temporary employees on location weekly, separate from the permanent employees.
Report on employee headcount for higher organization, tracking department changes and turnover.
Completing wage statements for insurance purposes.
Audit pricing in customer order lines entered for accuracy and log results.
Notify the customer serviceperson of inaccuracies and hold orders for corrections or signed exceptions.
Compile log results and exception letters.
Manage item pricing for locally generated parts in the system; add newly created parts and prepare data to load in Syteline based on current or new item pricing.
Oversee customer credit applications and increases as well as monitor orders on hold. Submits customers for credit increases and decreases as necessary.
Accounts Receivable: makes collection calls, submits customers to collection agencies, applies payments, clears inactive transactions.
Process credit memos, debit memos and manual invoices.
Oversight on the invoicing process to include correcting customer document profiles, pricing, freight charges, notifying shipping of errors and processing/posting invoices.
Responsible for T&E Assistance for all Rieke Innovative Molding travelers
Add new users to Concur and provide assistance where/as needed.
Manage the phone directory and broken/returned company phones to the extent of returning them to factory defaults, changing sim cards and returning phones to the higher organization account holder.
Manages the printers on lease, entering in usage and keeping stock of cartridges and assisting with changing and disposing of cartridges.
Adds vendors and employee users in Syteline.
Produces an intercompany newsletter and distributes birthday and anniversary cards to employees.
Works with vendors to produce employee business cards and other branded products.
Takes minutes for the monthly Senior Staff Meeting.
Manage key fobs/badges on location within the security system, de/activate fobs and create new users.
Keep the postal machine up-to-date and add postage as necessary.
Keep office supplies for the front office stocked.
Excellent knowledge of Microsoft Office applications
